1. Acceptance of Terms

By accessing or using LicenceClass ("the Platform", "we", "us"), you agree to be bound by these Terms & Conditions. If you are registering on behalf of a school or business, you confirm you have authority to bind that entity.

If you do not agree with any part of these terms, you must not use the Platform.

2. Service Description

LicenceClass is a cloud-based school management platform for training schools of all types. The Platform provides:

• Student records and progress tracking
• Session scheduling and booking management
• Test result recording and certification tracking
• Payment recording and financial reporting
• Multi-school management from a single account
• Mobile PWA application for instructors and managers
• Email notification and communication tools
• Reporting and analytics suite

We reserve the right to modify, suspend or discontinue any part of the Platform at any time. We will provide reasonable notice of material changes where possible.

3. Accounts & Registration

3.1 Account creation

You must provide accurate and complete information when registering. You are responsible for maintaining the security of your credentials and for all activity under your account.

3.2 Age requirement

You must be at least 18 years old to create an account. Schools may add students of any age, but the account holder and administrators must be adults.

3.3 One account per school

Each training school requires a separate account. You may manage multiple schools from a single login, but each school must be registered individually and subscribed separately.

3.4 Account security

You must notify us immediately at support@licenceclass.com if you suspect any unauthorised access to your account. We are not liable for loss or damage from your failure to comply with this requirement.

4. Free Trial

New schools receive a 15-day free trial with full access to all Platform features. No credit card is required to start.

• The trial begins from the moment your account is activated
• All data entered during the trial is preserved when you subscribe
• At the end of the trial period, access is restricted until a subscription is purchased
• We will send you a reminder email before your trial expires

5. Subscriptions & Billing

5.1 Subscription plans

Paid subscriptions are available on a monthly or annual basis, charged per school. Pricing is displayed on our website and may be updated with 30 days' notice.

5.2 Payment

Payments are processed securely via PayPal. All prices are quoted inclusive of VAT where applicable. By subscribing, you authorise us to charge your payment method on a recurring basis.

5.3 Renewal

• Monthly plans renew automatically every month on the same date
• Annual plans renew automatically every year
• You will receive a renewal reminder email 7 days before each renewal

5.4 Price changes

We will notify you at least 30 days before any price increase. Continued use of the Platform after the effective date constitutes acceptance of the new pricing.

6. Cancellation Policy

You may cancel your subscription at any time — no contracts, no penalties, no questions asked.

6.1 How to cancel

To cancel, contact us at support@licenceclass.com or use the cancellation option in your account settings. Cancellations take effect at the end of your current billing period.

6.2 Access after cancellation

• You retain full access until the end of your paid period
• After cancellation, your account enters a 7-day grace period with read-only access
• After the grace period, your account is suspended but not deleted
• You can reactivate at any time by subscribing again

6.3 Data retention after cancellation

Your data is retained for 90 days after your account is suspended. After this period, data may be permanently deleted. You can request a data export before cancellation by contacting support.

7. Refund Policy

We want you to be satisfied with LicenceClass. Our refund policy is designed to be fair and transparent.

7.1 First 3 months — Satisfaction Guarantee

To claim this refund:

• Your account must be less than 3 months old from first paid subscription
• Contact us at support@licenceclass.com with subject "Refund Request"
• Refunds are processed within 5–10 business days to your original payment method
• No documentation or explanation is required

7.2 After 3 months

After the first 3 months, subscriptions are non-refundable for the current billing period. However:

• You may cancel at any time and retain access until the period ends
• If a technical failure caused by us prevented access for more than 48 consecutive hours, you may request a pro-rated credit for the affected period
• In exceptional circumstances, refunds may be issued at our discretion — please contact support

7.3 Free trial

The free trial involves no payment, so no refund applies. There is nothing to refund.

7.4 Annual subscriptions

Annual subscriptions cancelled within the first 3 months are eligible for a full refund. Cancellations after 3 months receive no refund but retain access for the remainder of the annual period.

8. Data Protection

We take data protection seriously and are committed to compliance with the General Data Protection Regulation (GDPR) and the Data Protection Acts 1988–2018 (Ireland).

8.1 Data controller

Comweb-MT is the data controller for platform-level data. Each school using the Platform is an independent data controller for the personal data of their own students and staff.

8.2 What data we collect

• Account data: name, email address, phone number, school name
• Student data: names, dates of birth, contact details, permit numbers, test results, payment records (entered by the school — we process this on their behalf)
• Usage data: login times, page visits, IP addresses (for security and audit purposes)
• Payment data: processed by PayPal — we do not store full card numbers

8.3 How we use data

• To provide and operate the Platform
• To send service notifications (account creation, reminders, invoices)
• To detect and prevent fraud and security threats
• To improve the Platform through anonymised analytics
• We do not sell, rent or share personal data with third parties for marketing

8.4 Data storage and transfers

All data is stored on servers located in the European Union (Ireland). We do not transfer personal data outside the EEA without appropriate safeguards.

8.5 Your rights

Under GDPR, you (and your students) have the right to:

• Access your personal data
• Rectify inaccurate data
• Request erasure ("right to be forgotten")
• Restrict processing
• Data portability (export your data)
• Object to processing

8.6 Data retention

• Active accounts: data retained for the duration of the subscription
• Cancelled accounts: data retained for 90 days after suspension, then deleted
• Activity logs and email logs: retained for 12 months
• Payment records: retained for 7 years (legal requirement)

8.7 Data breaches

In the event of a data breach that affects your personal data, we will notify you and the relevant supervisory authority (the Data Protection Commission of Ireland) within 72 hours of becoming aware, in accordance with GDPR Article 33.

9. Security

9.1 Platform security measures

We implement industry-standard security measures to protect your data:

• HTTPS encryption — all data transmitted between your browser and our servers is encrypted using TLS
• Password hashing — passwords are stored using bcrypt — we never store plain-text passwords
• Brute force protection — accounts are rate-limited and temporarily locked after repeated failed login attempts
• CSRF protection — all forms include cross-site request forgery tokens
• SQL injection prevention — all database queries use prepared statements with parameterised inputs
• Session management — sessions are time-limited and invalidated on logout
• Activity logging — all significant actions are logged with timestamp, user and IP address
• Regular backups — automated daily backups with off-site storage

9.2 Your responsibilities

• Use a strong, unique password for your account
• Do not share your login credentials with unauthorised individuals
• Log out when using shared or public computers
• Report any suspected security issues immediately to support@licenceclass.com

9.3 No guarantee

While we take all reasonable steps to protect your data, no system is 100% secure. We cannot guarantee absolute security and are not liable for breaches resulting from actions outside our reasonable control.

9.4 Responsible disclosure

If you discover a security vulnerability, please report it responsibly to support@licenceclass.com. We will investigate promptly and keep you informed. We do not pursue legal action against good-faith security researchers.

10. Acceptable Use

You agree not to use the Platform to:

• Upload or transmit illegal, harmful or offensive content
• Attempt to gain unauthorised access to other accounts or systems
• Use automated tools to scrape or extract data
• Reverse engineer or decompile any part of the Platform
• Use the Platform to send spam or unsolicited communications
• Store data for purposes other than legitimate school management
• Resell, sublicense or commercialise the Platform without written consent

Violation of these terms may result in immediate account suspension without refund.

11. Intellectual Property

The Platform, including all software, design, text and graphics, is owned by Comweb-MT and protected by copyright and intellectual property law.

Your data is yours. You retain full ownership of all data you enter into the Platform, including student records, course content and payment information. We process this data solely to provide the service.

You grant us a limited licence to host, display and process your data for the purpose of operating the Platform.

12. Limitation of Liability

To the maximum extent permitted by law:

• The Platform is provided "as is" without warranties of any kind
• We are not liable for indirect, incidental or consequential damages
• Our total liability to you for any claim shall not exceed the amount paid by you in the 3 months preceding the claim
• We are not liable for service interruptions caused by third parties, hosting infrastructure or events outside our control

Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.

13. Governing Law

These Terms & Conditions are governed by the laws of Ireland. Any disputes shall be subject to the exclusive jurisdiction of the courts of Ireland.

If any provision of these terms is found to be unenforceable, the remaining provisions continue in full force and effect.

We reserve the right to update these terms at any time. Material changes will be communicated by email at least 14 days before taking effect. Continued use of the Platform after the effective date constitutes acceptance.
